Overview

We are seeking a motivated and organised Junior Receptionist to join our dynamic team. This entry-level position is ideal for individuals looking to gain experience in an office environment while providing essential support to our administrative functions. The Junior Receptionist will be the first point of contact for visitors and clients, ensuring a welcoming atmosphere and efficient operations.

Duties

Greet visitors and clients with professionalism and courtesy, ensuring a positive first impression.
Answer incoming phone calls, directing them to the appropriate personnel while maintaining excellent phone etiquette.
Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date in our systems.
Assist with clerical duties such as filing, scanning, and photocopying documents as needed.
Manage office supplies inventory, placing orders when necessary to ensure smooth operations.
Utilise Google Suite for scheduling appointments, managing calendars, and creating documents.
Support the team with administrative tasks, including preparing reports and presentations using QuickBooks when required.
Maintain an organised reception area that reflects the company’s professionalism.

Skills

Proficiency in data entry with a keen eye for detail.
Familiarity with QuickBooks is advantageous but not essential.
Strong phone etiquette and communication skills to interact effectively with clients and colleagues.
Basic knowledge of office procedures and administrative practices.
Excellent organisational skills to manage multiple tasks efficiently.
Competence in using computerised systems and software applications, particularly Google Suite.
Ability to work collaboratively within a team environment while also being self-motivated.
