A Bodyshop Administrator plays a key role in the smooth operation of an automotive bodyshop by managing administrative tasks related to customer service, repair scheduling and documentation. The role involves coordinating repair appointments, handling customer enquiries, processing job orders and maintaining accurate records of work completed. Administrators ensure that repair schedules are adhered to, liaise with technicians to track progress and communicate with customers to provide updates. The position requires strong organisational skills, attention to detail and the ability to manage multiple tasks efficiently, ensuring the Bodyshop runs effectively and meets customer expectations.
Bodyshop Administrator / Customer Service:
- Deliver high quality products and services to the customers of their organisation. The apprentice’s actions will influence the customer experience and their satisfaction.
- Key responsibilities include dealing with orders, payments, offering advice, guidance and support, meet-and-greet, sales, fixing problems, after care, service recovery or gaining insight through measuring customer satisfaction, being the first point of contact and work in any sector or organisation type.
Specific Tasks
- Provide a service booking vehicles in and out in a manner that minimises customer waiting time.
- To control the courtesy car provision in an efficient manner in order ensuring high levels of customer satisfaction.
- Book customer cars in for repair by telephone or by way of personal visits. Prepare and update individual job cards and customer files as necessary. Maintain various filing systems and provide vehicle progress reports when requested by the customer.
- Collection of payments from customers paying particular attention to banking/security arrangements and the payment of excesses on certain insurance policies.
- To be aware of and adhere to all health and safety regulations and policies applicable to your position or environment.
The ideal candidate will have an interest in the Motor industry and you will learn other parts to the role to grow and develop include Estimating/Vehicle Damage Assessing.

Qualifications
Apprentices will be required to have GCSE or equivalent English and Maths (Level 2) prior to completion of their apprenticeship.

To become a fully qualified Business Administrator and secure a full-time role as permanent member of the team.
