Job Overview
We are seeking a professional and friendly Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires excellent organisational skills, a strong ability to communicate effectively, and a proactive approach to problem-solving.
Duties
- · Open the premises when required and check heating and ventilation.
· Receive patients on arrival at surgery in a friendly, polite manner.
· Politely answer general enquiries, explain surgery procedures and make appointments requests.
· Receive and record requests for home visits and other messages for doctors.
· Signpost patients to the correct service.
· Keep the reception area tidy.
· Follow through tasks started to the end or pass clear messages onto colleagues.
· Bring to the attention of the doctors any questions relating to the medical care of the patient. The doctor will determine the urgency of any request and the action to be taken.
· Chase up results required by doctors.
· Arrange emergency and routine ambulance bookings.
· Request blood tests for patients though link to laboratory.
· Give test results to patients according to practice procedures.
· Book Community Nurses as requested and note on patients records.
· Data entry of new and temporary registrations and relevant patient information as required.
· Record all encounters with patients on their medical records for continuity of care.
· Scan letters and results as necessary into patients’ clinical records.
· Prepare surgeries for following day/confirm appointments for clinics.
· Check on surgeries in progress – patients booked in, patients waiting a long time in waiting room.
· Complete daily checklist as appropriate.
· Maintain a clean, tidy, stocked and effective working area at all times.
· Be aware of all surgery policies and procedures
· Add data on clinical system as requested. Training will be given for use of clinical system (EMIS).
· Attend staff meetings and educational courses as required.
· Be professional and courteous to patients and colleagues and offer help as appropriate.
· Prepare repeat prescriptions for GPs as required; training will be given.
· Be aware of Health and Safety responsibilities in the surgery and follow procedures and guidelines
· Be aware of Fire Prevention measures and the Fire Risk Assessment in the surgery.
· Respect the dignity and confidentiality of all patients using our service.
· Sign and uphold all confidentiality measures in place in the surgery.
· Carry out your duties quietly and efficiently.
· Be aware of the requirement of the Care Quality Commission and assist the surgery in maintaining compliance.
· Manage surgery emails, tasks and dashboard and keep up to date.
· Keep up to date with all policies and procedures of the surgery which are updated regularly.
· Keep up to date with e-learning and complete modules as appropriate.
