Apprentice Receptionist for the Facilities Department covering the receptions at The Royal Marsden Hospital, including the Oak Cancer Centre Sutton.

Role and Responsibilities:
The Shift Receptionist is a key front-line representative of the Facilities Directorate, delivering a professional, welcoming, and efficient reception service to patients, visitors, and staff. Based primarily at Sutton, the post holder will provide flexible cover across Trust sites as required, supporting both the Main Reception and Help Desk functions.
The post holder is expected to exercise sound judgment, initiative, and effective problem-solving skills in managing a wide range of administrative and operational tasks. While day-to-day priorities will be set by line management, the post holder is also expected to respond appropriately to ad-hoc requests from other members of the Facilities Directorate, where these align with the scope of the role.
Applicants are expected to be IT literate and to be comfortable monitoring multiple email inboxes as well as demonstrating an ability to deal with confidential information. You must have excellent keyboard skills. Applicants also need to be able to very much work as part of a Team.
- Answer Calls into the Unit
- Deal with departmental correspondence in an efficient, timely and appropriate manner, printing & posting correspondence, collecting and distributing incoming and outgoing mail and to monitor generic email inboxes, as well as own email inboxes.
- To receive and send email on behalf of the Teams/Service.
- provide a scanning service for all documents and ensure they are accurately recorded.
- be flexible in relation to working and responsibilities, i.e. covering for all colleagues’ absences.

- Ensure workload is managed and prioritised appropriately, with an ability to react quickly and resolve urgent situations in order to co-ordinate an excellent service to NHS & private patients and other health professionals and take initiative in asking for help when needed.

- develop and maintain positive working relationships with all staff.
- To contribute to service developments and actively support changes that would enhance working procedures.
- Attend and actively participate in staff meeting
- accurately input and update all data information on a daily basis as and when required.
- Rearrange NHS & private appointments at the request of patients or medical staff and to inform patients either verbally or by letter.
- To be responsible for your own awareness of all policies, procedures and government incentives in accordance with the Trust’s expectations.
- To attend statutory and mandatory training when required and also any other training to improve knowledge and understanding as and when identified.
- To perform any other duties commensurate with the duties and grade of the post

The successful apprentice will be enrolled on the Business Administrator Apprenticeship Level 3 with PMA Ltd.
