Supporting the operation and administration of in centre and wider team
Detail
As the Business Administrator Apprentice (Operations), you will support the Operations Manager to ensure FI Yorkshire and Humber’s administration processes are efficient.
Key responsibilities include:
- Answering client, learner & staff queries designated by the Operations Manager
- Assist with answering phone calls, dealing with queries and taking key messages
Front of House
o Answering main office phone
o CBE Admission & invigilation
o Meeting & greeting students and clients on reception
o Daily checks after student breaks
o General upkeep of office & centre
Attendance
o Produce daily course lists
o Marking attendance on internal system
o Reporting absentees to Training Managers
o Checking attendance for the Sheffield centre
Operations
o Dealing with student queries via email, phone & face to face
o Chase learner consent – monthly
o Add/Remove exams links on website
o Course set up
o Course bookings
o Assist with the administration for quarterly sign ups
o Course date changes
o Key client course monitoring & booking
o Client course reporting
o Update study routes spreadsheet with numbers
o Induction packs for new starters
o Collate ACCA Results data for import
o Ad Hoc reports & requests
o Monitoring & booking of AAT whole level bookings
Facilities/H&S
o Fortnightly security checks (lanyards)
o Weekly fire exit checks – update log book
o Point of contact for building fire checks
o Upkeep of Sheffield centre including liaising with building managers/contractors – all to be logged and monitored
o Ensure H&S compliance in centre e.g COSHH regulations
o Fortnightly meetings with Operations Manager to discuss facility checks
o Responsible for Bi-annual lockdown and fire evacuation drills – monitored and logged
o Events internal – academies/ad hoc in house
Other
o General admin support for the office as required
o Attending careers events as required
o Required to travel to other centres when needed
Required Skills:
o An excellent communicator
