Business Administration Apprenticeship Level 3
Location: Plaistow, E13
Hours: 30 – 40 hours per week
Pay: Minimum Apprenticeship Wage
Role Overview
A client of ours is seeking a motivated and enthusiastic Apprentice Administrator for their Early Years setting. This role has a strong focus on reception duties and front-of-house responsibilities, providing a warm, professional, and efficient service to parents, visitors, and staff.
The successful candidate will gain valuable hands-on experience while working towards a recognised Business Administration Apprenticeship qualification. Full training and support will be provided.
Key Responsibilities
Reception Duties
- Act as the first point of contact for parents, carers, visitors, and external professionals.
- Provide a welcoming, professional, and friendly front-of-house service.
- Answer and direct telephone calls, take accurate messages, and respond to routine enquiries.
- Monitor visitor entry, ensuring sign-in procedures are followed in line with safeguarding requirements.
- Manage incoming and outgoing post, deliveries, and couriers.
- Maintain accurate visitor records and support attendance monitoring.
- Prepare and distribute letters, newsletters, and information packs.
- Manage meeting room bookings and hospitality arrangements for meetings and training sessions.
Administrative Responsibilities
- Filing, scanning, photocopying, and record keeping.
- Data entry and updating electronic records using nursery management systems.
- Maintaining accurate and confidential child and family records.
- Support the admissions process, including preparing enrolment documentation and maintaining waiting lists.
- Assist with general office organisation and workflow improvements.
- Support the Nursery Manager and leadership team with administrative duties as required.
- Participate fully in apprenticeship training and complete coursework within agreed timescales.
Communication and Professional Conduct
- Communicate effectively and professionally with parents, staff, and external agencies.
- Maintain positive relationships with families.
- Demonstrate professionalism, reliability, and discretion at all times.
- Work collaboratively with colleagues to support the smooth running of the setting.
- Promote the nursery’s values and ethos.
Safeguarding, Health & Safety and Equality
- Follow all nursery policies and procedures.
- Always adhere to safeguarding and visitor security procedures.
- Promote equal opportunities and inclusive practice.
- Maintain confidentiality in line with GDPR requirements.
- Undertake any additional duties appropriate to the role.
Qualifications
Essential:
- GCSE (or equivalent) in English and Maths (Grade 4/C or above).
- Willingness to undertake and complete a Business Administration Apprenticeship within the Early Years Sector.
Skills and Abilities
Essential:
- Friendly and professional communication skills.
- Confident telephone manner.
- Basic IT skills (Microsoft Office, email, data entry).
- Good organisational skills (diary management, scheduling)
- Ability to follow instructions and work as part of a team.
