Dyvine Group Ltd is the holding company for three thriving food businesses; Country Kitchen Foods (Norfolk) Ltd, Chef's Fayre Ltd and Norfolk Meals on Wheels Ltd. We are looking for an enthusiastic and motivated Apprentice Administration Assistant to join our team and support our daily Administration team. This is an excellent opportunity for someone looking to gain valuable experience and develop key administrative skills in a professional and fast-paced environment.
Job Description
As an Apprentice Administration Assistant, you will be responsible for providing administrative support across various functions of the business. Your role will involve handling telephone and email queries, maintaining supplier and client communications, and ensuring financial records are up to date using Xero accounting software across all three companies.
This role will be based at our Head Office in Hellesdon. The hours for this role are 30-35 per week with a 1 hour unpaid lunch break.
In this role you will be working toward a Level 3 Business Administration qualification.
Key Responsibilities
- Answer and handle general telephone queries in a professional manner whether that be a new order, general enquiry or feedback from a client.
- Respond to email inquiries and ensure prompt communication with clients and suppliers.
- Maintain accurate records and update company databases as required.
- Reconcile account statements on Xero to ensure financial accuracy.
- Raise invoices on Xero and send them to the relevant parties.
- Process and input supplier invoices into Xero.
- Assist in general office administration tasks, such as filing, data entry, and scheduling.
- Support team members with administrative duties as required.
- Update our bespoke stock control system.
- Update the websites with stock levels as and when necessary.
- Assist with clerical duties, including filing, photocopying, and managing correspondence.
Key Skills & Requirements
- Excellent communication skills, both written and verbal.
- Strong attention to detail and accuracy.
- A proactive and positive approach to work.
- Ability to multitask and manage time effectively.
- Willingness to learn and develop new skills.
- Basic knowledge of Microsoft Office applications (Word, Excel, Outlook).
- Any experience with Xero accounting software is advantageous but not essential (training will be provided).
