An opportunity to join our team as an Apprentice
- As the initial point of contact for our clients (who range from local first-time buyers to international multi millionaires), you will set the scene being their first ‘example of excellence’ and ‘top class service’..
The Role
- To process all incoming telephone calls with no undue delay and in a courteous and helpful manner.
- To receive and direct all visitors to the practice, especially clients, in a helpful, friendly and professional manner.
- To provide secretarial support to the designated fee earner and any other fee earner as directed by a Director of the practice, with optimum efficiency.
- To ensure the general smooth running of the office in terms of equipment and supplies.
- To comply with the terms of the Office Manual and any other reasonable request that may be made by the Department Head or another Director.
Key Tasks
The position requires a high degree of self-management and initiative and includes, but will not be limited to, the main responsibilities given below
- The effective processing of all incoming telephone calls and emails, including the logging of all calls and conveying messages
- Dealing with all visitors to the reception area
- Administration of the fax machine, photocopier and printers
- Ensure the tidiness of the reception area, the converence room and the filing room. Ensure that there are adequate supplies of stationery, cleaning equipment, towels and general supplies and that these are stored/fitted appropriately
- Ensure that all post is sorted and collected
- Prepare correspondence and documents through audio-typing and word processing. Administer filing and the opening and closing of client files.
- Schedule deeds, ensure the deeds room is unlocked in the morning and locked at night
- Prepare mail and enclosures for despatch.
- Undertake photocopying
- Prepare the Conference Room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting.
- Provide refreshments when required.
- Attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the practice’s standards for client care.
- Provide assistance to or work for other departments and/or offices as directed by the Head of Department or Practice Manager
- Undertake any specific training when required to do so and overall to have a responsibility towards self-development.
- Ensure the confidentiality of all the practice’s and clients’ documentation and information.
The Law Practice
- Firm of high calibre legal professionals delivering a quality service to national and international clients covering; commercial & residential property, dispute resolution, private client, family and marine law.
Future prospects
- Good probability for the right person. Once qualified, not less than Living Wage. Initially, probably between £20,000 - £22,000 TBC. Progression is very much down to the individual’s goals and aspirations, but we support those that wish to progress and where we can see potential return on any ‘investment in training’. Of our current employees we have 15 currently enrolled in external training programmes – i.e., 25% of our staff! Once all training (required to complete the role), is undertaken the apprentice will also have access (with prior agreement) to unlimited courses via our MBL Webinar subscription.
Monday to Friday
- Monday to Friday 09:00 – 17:00hrs Total 35hr week 1hr unpaid for lunch
Desired skills
- 4-9 grades English and maths GCSE's
- Local viable commute essential
- Confident with excellent communication skills.
- Ability to multitask and manage reception in conjunction with other administration duties
- Good attention to detail
- Good working knowledge of ICT packages including Word, Excel and Outlook.
- Ability to demonstrate or gain a clear understanding of the firm’s in-house systems where training will be given
- Excellent presentation, organisation and timekeeping skills
- Awareness of confidentiality and safeguarding
- The ability to use own initiative, be able to work individually as well as part of a team
- Must be well-presented with a clear, pleasant telephone manner
- Good organisational skills
- Good client care skills

Training to be provided
- Level 3 in Business Administration Apprenticeship Standard
