Job Overview
We are seeking a detail-oriented and proactive Finance Assistant (Apprentice) to join our dynamic finance team. The Finance Assistant (Apprentice) is predominantly responsible for ensuring that all financial transactions, such as invoices, expenses and reconciliations are recorded correctly and in a timely manner to support budgeting, reporting and compliance. The Finance Assistant (Apprentice) will support the Laboratory Operations Manager along with Finance in monitoring stock levels, track inventory movements and assist with procurement to prevent shortages, overstocking or financial loss. The Finance Assistant (Apprentice) will also provide reliable data and administrative support that helps support the Finance Team and the Scientific Teams ensuring that financial and inventory systems are aligned and up to date. Responsibilities will also include assisting with internal audits; VAT returns and financial reports to meet regulatory requirements and organisational goals. With the support and guidance of the Management Accountant the Finance Assistant (Apprentice) will complete the tasks below, whilst undertaking learning and development to progress with the ACA qualification over the term of the apprenticeship.
Duties:
Finance tasks
- Processing service project sales invoices
- Processing purchase invoices
- Processing of all payments for all companies
- Credit Control
- Daily Bank downloads and reconciliations
- Weekly and Monthly cash flows
- Assisting with month end processes
- Reconciliations
- Ad hoc tasks to incl. but not limited to:
o Opening/processing of mail
o Printer management, inc. replenishing stocks
o Ordering of Amazon items
o First point contact for finance emails
o Replenishing of office refreshments
Inventory tasks:
- Receiving deliveries
- Logging incoming stock into inventory system
- Transferring stock to projects once used
- Weekly stock accuracy checks
- Reordering and maintaining stocks of basic consumables via procurement system
- Ad hoc tasks to incl. but not limited to:
o Replenishing lab stocks
o Removal of laboratory waste
o Collection and preparation of lab coats for dry cleaning
Skills
- GCSE in Maths and English, minimum grade C
- Being able to work as part of a team
- IT proficient – ability to use spreadsheets
- High level of numeracy
- Good attention to detail
- Ability to manage deadlines
- Good Analytical skills
- Great communicator who can relate to all people
- High level of self-motivation and use of initiative
- Ability to juggle multiple priorities in a fast-paced environment
- Inquisitive approach and desire to learn
Communication and people skills are key to the success of the department. The post holder must communicate widely with personnel at all levels within Axol Bioscience Ltd, with suppliers and customers as required. The post holder is expected to engage in and promote positive communication within the team and the company as whole.
Job Type: Apprenticeship
Pay: £22,500.00-£26,000.00 per year
