Equans is looking for a Business Administration Apprentice to join our team based at Jesmond Park Academy on an Apprenticeship basis (18 months). This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package
Reporting to the Operations Manager, the Business Administrator Apprentice duties will be to provide pro-active day to day facilities office support, supporting the Contract Administrator as necessary. You will be an integral component of a dynamic professional and motivated department in a busy facilities support services environment. You will be expected to support facilities colleagues, the senior management team as appropriate in a demanding multi-functional support services environment.
What will you deliver?
- Dealing with general enquiries, taking messages and responding to queries either by email, telephone, or in person.
- Identify client requirements through telephone, CAFM Helpdesk system, and e-mail communications. Raise and manage to completion PPM and reactive Work Orders in the CAFM System to deliver KPIs / SLAs.
- Assist with planning and coordinating, in conjunction with the supervisor, tasks and labour resource for planned, reactive and other tasks as required.
- Progress both colleagues and suppliers queries / work orders to ensure that Equans SLAs are met.
- Carry out monitoring of data to ensure that Helpdesk work orders have been accurately created, assigned, prioritised and categorised in line with contractual KPIs and SLA's. Raise any concerns to the Facilities Team Leader.

- Record and respond to Compliments and Complaints. Updating the correct systems so that monthly reporting happens
Achieve closure of Work Orders to financial deadlines to ensure prompt payment. Working with the Payment system (Webcycle).
- Attend meetings, training and other engagements to the benefit of personal development.
- Maintain paperwork and folders associated with the facilities department timesheets and delivery notes etc.
- Drafting basic correspondence, and circulating documents as appropriate.
- Liaise with contractors and coordinate attendance in line with any reactive maintenance and ensure records of attendance are maintained.
- Ordering of goods for office services, uniform, cleaning consumables & equipment, stationery, H&S items etc.
- Fulfil Health & Safety responsibilities by adherence to the requirements of the Company's Health & Safety Policy Statement, Manual, Safe Systems of Work and Risk Assessments. To adhere to Client health and safety policies and procedures as appropriate.
- Comply with the Company’s Policies, Management Plans and Procedures.

Who are you?
- Previous experience within Administration is desirable but not essential.
- Reliable.
- Good communicator, both written and oral.
- Minimum of C or above (or equivelent) in English & Maths.
This role includes an Enhanced DBS with Barred Lists check therefore ability to pass is essential.
