Job Summary
We are seeking a highly organised and detail-oriented Apprentice Administrator to join our team working Monday to Friday 9:30am to 4pm. This role plays a key part in ensuring the smooth coordination and delivery of End-Point Assessments across our national network of Training Providers, Assessors, and learners.
You’ll be at the heart of the assessment process, managing schedules, maintaining data accuracy, supporting assessors, and providing excellent service to our partners and learners.

Responsibilities
- Manage day-to-day office operations, ensuring a productive work environment.
- Handle incoming calls and correspondence with professionalism and courtesy, demonstrating excellent phone etiquette.
- Coordinate, schedule, and confirm End-Point Assessments (EPAs) between assessors, training providers, and apprentices.
- Coordinate and complete remote invigilation of knowledge tests
- Maintain accurate EPA timetables, ensuring deadlines and booking procedures are adhered to.
- Manage candidate registration, gateway submissions, and certification requests.
- Serve as the first point of contact for EPA-related enquiries from providers, assessors, and learners.
- Provide clear, timely, and professional communication regarding EPA processes, requirements, and outcomes.
- Support assessors with administrative documentation and logistical arrangements.
- Support compliance with ESFA, Ofqual, and other regulatory body requirements.
- Assist in the internal audit process by maintaining complete and accurate records.
- Monitor EPA activity to ensure it aligns with quality assurance standards and internal policies.
- Assist with onboarding new assessors, ensuring required documentation and qualifications are verified.
- Coordinate training sessions or briefings for assessors and providers.
- Support external assessors with scheduling, travel logistics, and expense processing
- Produce regular reports on EPA activity, completion rates, and learner outcomes.
- Track performance metrics and highlight any risks or delays in EPA delivery.
- Support management in the continuous improvement of EPA systems and processes.
Skills
Essential:

- Proficient in digital systems and Microsoft Office applications.
Desirable:
- Experience working within an awarding organisation, training provider, or EPAO.
- Knowledge of Ofqual and ESFA regulations.
- Understanding of Animal Care, Grooming, or related vocational sectors.
