Job Title: School Administration Assistant Apprentice
Location: Yardley – B25
Hours: 30-40 per week
Salary: National Apprenticeship minimum wage – £8.00 per hour

Job Purpose
To support the smooth running of the school office by assisting with administrative, organisational and communication tasks. The post holder will contribute to providing an efficient and welcoming administrative service while undertaking a Level 3 Business Administrator Apprenticeship.
Key Responsibilities
- Assist with the day-to-day administration of the school office
- Answer telephone calls and respond to routine enquiries
- Welcome visitors and parents to the school office
- Support the maintenance of school records and filing systems
- Assist with data entry and updating pupil information on school systems
- Prepare letters, documents and other administrative materials
Communication and Organisation
- Support communication between staff, parents and external agencies
- Assist with distributing school communications and newsletters
- Help organise meetings, appointments and school events
- Support administrative arrangements for trips and school activities
- Maintain confidentiality when handling sensitive information
Digital and Record Management
- Support the use of school ICT systems and databases
- Assist with maintaining accurate electronic and paper records
- Use digital tools and systems to support administrative tasks
- Ensure information is recorded accurately and securely
Support for the School
- Work positively and professionally with colleagues, pupils and parents
- Provide general administrative support to teaching and leadership staff
- Assist with preparing resources or documents for school activities
- Contribute to a welcoming and professional school environment

- Safeguard and promote the welfare of children and young people
- Follow school safeguarding, child protection and health and safety policies
- Promote equality, diversity and inclusion
- Always maintain confidentiality and professionalism
Additional Information – Apprenticeship Eligibility
- The successful candidate must meet eligibility requirements for apprenticeship funding, including having the right to work in the UK and having been resident in the UK for a minimum of 3 years.
- The apprenticeship will be delivered through a combination of workplace learning and off-the-job training with Hatch Training
- GCSEs (or equivalent) in English and Maths at grade 4/C or above
- Ability to provide evidence of English and Maths qualifications
- Must not already hold a Business Administration qualification at Level 3 or above
