Job Title: People Centre Apprentice
Reporting to: People Centre Assistant Manager
Overall Purpose:
The main purpose of this role is to provide excellent customer service as the first point of contact for all internal and external customers while also assisting with recruitment, HR administration, payroll, and business-related tasks. You will handle customer service duties through reception and other communication channels, along with supporting the People Centre Assistant Manager and Office and Payroll Manager in various operational and HR tasks.
Key Responsibilities:
Duties may be reviewed from time to time in accordance with the needs, services and requirements of the company.
- Serve as the first point of contact for face-to-face, telephone, and email inquiries from customers, business partners, and colleagues, ensuring a professional and welcoming reception experience.
- Deliver clear and accurate messages to the appropriate parties.
- Maintain an efficient room booking system, including meeting room preparation and arrangement of provisions.
- Handle incoming and outgoing post, maintaining electronic filing systems, and mailing external post.
- Manage company stationery, equipment, and supplies, ensuring stock levels are maintained.
- Perform general housekeeping tasks to ensure a tidy and organised office environment.
- Serve as a First Aider, maintaining first aid kits, and take on the role of Deputy Fire Marshal, assisting with fire point tests on a monthly basis.
People Centre (HR) and Payroll Support:
Assist the People Centre Assistant Manager with the recruitment process, including liaising with managers to determine recruitment needs, posting job ads, shortlisting candidates, arranging interviews and assisting/joining the interview panel.
- Assist with payroll data processing, ensuring timesheet accuracy and contributing to overall payroll procedures.
- Prepare HR-related documents, including employee contracts, resignation acceptance letters, probation outcome letters, and other correspondence, ensuring accuracy and timely delivery.
- Maintain Albion and iHasco (the People Centre software systems) to ensure data integrity for the Group of Companies.
- Create staff badges for new members of staff.
- Monthly reporting.
- Posting staff pension contributions monthly on the Nest Pensions platform.
- Assist with the coordination and organisation of company events, such as the annual Christmas party.
- Attend team meetings and take minutes as required.
- Ensure compliance of all GDPR legislation.
Additional Administrative Support:
- Assist with various administrative tasks across the business, including coordinating the servicing of company vehicles (MOT bookings) and preparing lunches for on-site training events.
- Liaise with utility providers for setting up accounts for company properties.
- Contribute to data input across various software systems to support different teams.
- Undertake relevant training courses in line with the business’s needs.
Skills & Attributes:
- Strong computer skills (e.g. Microsoft Word, Excel and Outlook).
- Excellent communication skills and a welcoming, approachable demeanour.
- Highly organised with a strong attention to detail and the ability to prioritise tasks.
- Enthusiastic and punctual, with a professional and positive attitude.
- Motivated and proactive with a desire to learn and grow within the role.
- Ability to work as part of a team and independently.
- Flexibility and adaptability to meet changing business needs.
Apprenticeship:
- Level 3 CIPD apprenticeship through BPP.
- Course duration - 16 months (Starting from May, July or October).
- Apprenticeship salary for first 12 months of the course.
- Salary for first 12 months - £7.55 per hour (as of April 25)

Upon completing your apprenticeship, you will be placed on Band 1 of the People Centre Assistant salary scale. (Salary scale may be subject to changes set by the Government.)
Requirements:
- Right to work in the UK.
- Valid UK Driving Licence.
- This is an office-based role requiring 37.5 hours per week, Monday to Friday, from 8:30am to 4:30pm.
