Overview
We are seeking a professional and friendly Apprentice to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, ensuring a welcoming atmosphere while managing various administrative tasks. This role requires strong organisational skills, attention to detail, strong computer skills and proficiency in office software to support our daily operations effectively.
Duties
- Be aware that the reception team is the first point of contact for patients and visitors to the practice and therefore ensure that everyone is dealt with in a friendly, professional manner.
- Dealing with patient enquiries either face to face, on the telephone of via electronic messages.
- Working across multiple computer systems.
- Ensure efficiency of appointments within the practice by accurately recording information within the computerised booking system.
- Act as a reference point for patients with queries, liaising where necessary with administration colleagues and health professionals.
- Responding to patient requests for home visits, obtaining all the necessary information and accurately recording them in the practice records.
- Follow established procedures for patients eligible for hospital transport.
- Check emails, both in own NHS net account, internal email, the generic and document management email addresses and action as appropriate
- To be aware of the confidential nature of the role and to treat all information in the strictest of confidence.
- Ensure that medical information is not divulged to any unauthorised person. When using the reception computer terminal the receptionist is to ensure that the medical record of a patient is not visible to onlookers.
- Registrations of new patients – computer data entry and medical records.
- Process patients change of address/person circumstances – computer data and medical records (have knowledge of practice area).
- Ensure that all correspondence, results, reports etc are scanned in the patient’s clinical medical records as soon as possible.
- Retrieve and file medical records ensuring great care is taken to avoid the possibility of misfiling.
- Supporting colleagues and other departments within the organisation.
- Receive and make calls in line with established protocols ensuring that everyone spoken to is dealt with in a courteous and professional manner.
- Responsibility for the day to day processing of prescriptions
- Deal efficiently with patient /outside agencies’ requests for repeat medication making sure that deadlines are met, and prescriptions are available within published timescales
