Summary
Build Documentation template building for stage 1 and H/S stage 2 files.
To monitor and build the template within a time scale.
Chase any design document not within the folder.
Liaise with Bm on any issues that will stop design documentation.
Duties and Responsibilities:
Arranging access with site providers, could be a building owner, tenant, land owner, farmer, shop owner. This is where key telephone & email experience comes in as we have to be clear & precise, to ensure we are asking for the right thing from the right people. Some tenants & building owners can be very awkward with access, so we need to be able defuse the situation.
Arranging outages, which is an operator shut down. I.E- turning off O2, VF, EE antenna’s & sometime emergency services if absolutely necessary. Organization skills are vital as all operators have SLA’s (Service Level Agreement) that we have to adhere to. Which makes it a time critical activity, this is where planning & organizing your workload is very important to ensure that it doesn’t get missed.
Email management is important & being in control of your inbox, as a coordinator you get copied in to a lot of emails which isn’t necessarily something you will have to action. However, we have to file emails for job history, final account purposes & to keep an overview of what happened on the job. Learning what to file & what to keep In your inbox comes with time, but having a outlook or email management experience is important to be able ensure that you know what your day to day tasks are, anything outstanding which needs to be chased & what can be filed is filed for others to view.
Arranging council permits, Traffic & pedestrian management in a timely manner.
Complying H&S documents for the site & making sure all dependencies have sent in their RAMS & documents. Chasing & escalating where necessary to ensure this is completed as this time sensitive & a massive milestone for the client for meet their H&S requirements. This is also what we get audited it on while on site.
Tracking & managing, rescheduling sites due to client demands.
Desired Qualities, Skills and Knowledge:
Multi-tasking
Computer literate – Important things: Email management, comfortable will excel as will need to use reports & key for tracking, also internal data base- atlas
Organization
Good at tracking & filing, data is number one priority
Good telephone & email manner
Be confident with working individually & with others where support is needed
