About The Role

The People & Culture Assistant will provide proactive, customer focused, and efficient administrative support to the People & Culture team. The post holder will report to the People & Culture Operations Manager and will support the People & Culture Manager and the People & Culture Talent Manager with recruitment, on-boarding and off-boarding, payroll, benefits, training, record management, reporting, and ad hoc administration, as well as being the first point of contact for all People & Culture queries.

Key Responsibilities

On-boarding

To support on the on-boarding of new starters by:

Setting up new starter records both within the People & Culture e-filing system, People & Culture Information System (People HR), and ensuring documentation is filed appropriately.
Conducting and recording right to work checks, ensuring they are undertaken in line with the Home Office guidelines.
Sending out reference requests and ensuring these are followed up and filed appropriately.
Maintaining the Employee Records Tracker (HR Summary Spreadsheet) with the details of pre-employment checks, ensuring data is accurate and always kept up to date.
Arranging new starter inductions for new starters, ensuring IT set up has been completed ahead of their start date.
Undertaking the P&C induction.
Coordinating the probationary review process, including scheduling meeting reminders for managers, providing guidance on the process, maintaining the internal tracker, following up on outstanding review forms and escalating as appropriate, and issuing probation outcome letters.

Off-boarding

To support on the off boarding of leavers by:

Updating records to reflect changes in staffing, e.g. People HR System, Organisational chart, Employee Record Tracker, personnel files.
Issuing P45s.

Recruitment

To support the People & Culture Talent Manager with the administration of the recruitment and selection process by:

Advertising roles on Hireful.
Creating recruitment documentation such as job descriptions, adverts, scoring matrix, and interview packs.
Booking interviews with applicants and managers, and rooms/video links via Microsoft Teams for the interviews.

General Administration
- Monitoring the inbox People & Culture inbox and responding to queries or flagging with the People & Culture Operations Manager and/or People & Culture Talent Manager, as appropriate.
- Processing invoices.
- Contributing to the review of all administrative processes for efficiencies and improvements.
- Undertaking any other duties, which may reasonably be allocated, including covering the team as needed.
