Job Purpose:
To provide high-quality administrative support to the College’s Apprenticeships and Skills department, with a focus on Digital Sector programmes. The apprentice will assist in the coordination and delivery of apprenticeship and skills provision by supporting communication, data management, learner records, and operational processes. This role offers hands-on experience in business administration within an education environment, supporting the recruitment, onboarding, and progression of learners.

Key Responsibilities:1. Administrative Support for Digital Apprenticeships
- Provide day-to-day administrative assistance to the Apprenticeships and Skills team.
- Support the coordination and delivery of Digital Sector programmes (e.g., Digital Marketing, IT, Software, and Business apprenticeships).
- Respond to internal and external enquiries promptly and professionally, including via email, phone, and in person.
- Assist with preparing and updating learner documentation, enrolment forms, and compliance records.
- Ensure accurate filing and archiving of learner information, following College policies and GDPR regulations.
2. Data Management & Record Keeping
- Input and maintain accurate learner data in College systems and spreadsheets.
- Support the monitoring of learner progress, attendance, and compliance records.
- Generate reports to support curriculum teams and managers.
- Contribute to data audits and ensure that records meet funding and quality assurance requirements.
3. Learner Recruitment & Onboarding Support
- Assist with administrative tasks for learner recruitment and enrolment processes.
- Support the organisation of recruitment activities such as open events, information sessions, and digital marketing campaigns.
- Process application forms, book interviews, and communicate with applicants regarding next steps.
- Help prepare induction packs and onboarding materials for new learners and employers.
4. Communication & Coordination
- Liaise with learners, employers, and staff to support programme delivery.
- Schedule meetings, interviews, and events, ensuring accurate calendar management.
- Take minutes during departmental meetings and circulate action points.
- Prepare and distribute internal communications, notices, and reports.
5. Project & Event Support
- Assist in the planning and delivery of events related to Digital Sector programmes (e.g., workshops, webinars, employer engagement activities).
- Support coordination of resources and logistics for events and projects.
- Help create administrative timelines and task lists to ensure activities run smoothly.
6. Learning & Development
- Participate in apprenticeship training, workshops, and mentoring sessions.
- Apply learning to real-life administrative tasks within the College setting.
- Develop knowledge of funding rules, quality assurance, and compliance within the apprenticeship sector.
- Stay informed on best practices in business administration and education support.
Skills & Qualities
- Strong organisational skills and attention to detail.
- Confident communication skills (written and verbal) with learners, staff, and employers.
- Good IT skills, including Microsoft Office and willingness to learn new systems.
- Ability to work effectively in a team and manage multiple priorities.
- Professional, proactive, and willing to learn.
- Interest in education, skills development, or the digital sector is advantageous.
Qualifications
- GCSE Maths and English at grade C (4) or above (or equivalent).
- A good standard of IT literacy is essential.
- An interest in administration, education, or digital industries is desirable.
