Job Overview
This is an office-based role, requiring attendance a minimum of three days per week. Start and finish times are negotiable to provide flexibility around your learning and other commitments. Full training and mentoring will be provided to help you succeed in your role.
Duties
- Administrative Support: Assist company directors and their personal assistant in daily administrative tasks, ensuring smooth business operations.
- Communication Management: Handle email and physical mail correspondence professionally, responding to enquiries in a timely manner.
- Patient Interaction: Act as the first point of contact for patients via email and phone, delivering exceptional customer service.
- Data Handling: Maintain and update patient and business records, ensuring accuracy and GDPR compliance.
- Scheduling & Booking: Support appointment scheduling, manage the booking system, and coordinate meetings and agendas.
- Document Preparation: Assist in preparing letters, reports, and other documents to a high standard.
- Financial Support: Help with sales invoicing processes and contribute to effective financial administration.
- Office Organisation: Manage office supplies, maintain a tidy workspace, and follow up on action points from meetings.
- Confidentiality: Handle sensitive information with the utmost discretion and integrity.
Skills
- Excellent organisational and time-management abilities.
- Strong communication skills, both written and verbal.
- Proactive and self-motivated approach to tasks.
- Ability to maintain confidentiality and professionalism at all times.
- Basic IT skills, including familiarity with Microsoft Word, Excel, and Outlook.
